Directions – Annual Operational / Financial Report

The Greater Hartford Transit District (GHTD) receives a capital grant from the Federal Transit Administration (FTA) to purchase vehicles for Grantees to operate transportation services. In order to make sure funds are properly utilized, GHTD has to report to FTA accurate operational statistics on all vehicles. We appreciate your effort in making sure that all information is accurate. The following information will guide you through the information collection process.

  1. Enter the number of vehicles the Grantee operates their transportation during the fiscal year.
  2. Enter the number of months the Grantee operates their transportation during the fiscal year.
  3. Enter the amount of fares collected from the Grantee while operating their transportation during the fiscal year.
  4. Enter the total expenses incurred by the Grantee during operation of their transportation during the fiscal year. Note this figure must equal the total expenses from the four quarterly GHTD service reports.
    Example: 1st quarter total expense report = $2,000, 2nd quarter total expense report = $2,000, 3rd quarter total expense report = $2,000 and 4th quarter total expense report = $2,000. The annual operating expenses should total $8,000.
  5. Service Starts
    1. Enter the time the Grantee operates their transportation for an average weekday. This is the time vehicles leaves the garage or yard to begin the day’s service.
    2. Enter the time the Grantee operates their transportation for an average Saturday. This is the time vehicles leave the garage or yard to begin the day’s service.
    3. Enter the time the Grantee operates their transportation for an average Sunday. This is the time vehicles leave the garage or yard to begin the day’s service.
  6. Service Ends
    1. Enter the time the Grantee operates their transportation for an average weekday. This is the time vehicles return to the garage or yard to end the day’s service.
    2. Enter the time the Grantee operates their transportation for an average Saturday. This is the time vehicles returns to the garage or yard to end the day’s service.
    3. Enter the time the Grantee operates their transportation for an average Sunday. This is the time vehicles returns to the garage or yard to end the day’s service.
  7. Number of Vehicles in Operation
    1. Enter the Grantee number of vehicles in operation of their transportation service during an average weekday.
    2. Enter the Grantee number of vehicles in operation of their transportation service during an average Saturday.
    3. Enter the Grantee number of vehicles in operation of their transportation service during an average Sunday.
  8. Total Actual Vehicle Miles
    1. Enter the Grantee total actual vehicle miles in operation of their transportation service during an average weekday.
    2. Enter the Grantee total actual vehicle miles in operation of their transportation service during an average Saturday.
    3. Enter the Grantee total actual vehicle miles in operation of their transportation service during an average Sunday.
      Note: The total actual miles of a vehicle is from when the vehicle leaves the garage/yard at the start of the day to the time that the vehicle returns back to the garage/yard at the end of the day. Example: Odometer reading on vehicle when leaving the garage/yard is 99,450. When returning back to the garage/yard at the end of the day, the odometer reading on the vehicle is 99,650, therefore the total actual miles on this vehicle for this day is 200 miles.
  9. Total Actual Vehicle Revenue Miles
    1. Enter the Grantee total actual vehicle revenue miles in operation of their transportation service during an average weekday.
    2. Enter the Grantee total actual vehicle revenue miles in operation of their transportation service during an average Saturday.
    3. Enter the Grantee total actual vehicle revenue miles in operation of their transportation service during an average Sunday.
      Note: The total actual vehicle revenue mile is the miles between the first pick-up and the last drop-off. This does not include garage to first pick-up nor last drop-off to garage miles.
  10. Total Actual Vehicle Hours
    1. Enter the Grantee total actual vehicle hours in operation of their transportation service during an average weekday.
    2. Enter the Grantee total actual vehicle hours in operation of their transportation service during an average Saturday.
    3. Enter the Grantee total actual vehicle hours in operation of their transportation service during an average Sunday.
      Note: The total actual vehicle hours of a vehicle is from when the time the vehicle leaves the garage/yard at the start of the day until the time the vehicle returns back to the garage/yard at the end of the day. Example: Vehicle leaves the garage/yard at the start of the day at 8:00 am and arrives back at the garage/yard at the end of the day at 3:00 pm; therefore the total actual vehicle hours for this day are 7.
  11. Total Actual Vehicle Revenue Hours
    1. Enter the Grantee total actual vehicle revenue hours in operation of their transportation service during an average weekday.
    2. Enter the Grantee total actual vehicle revenue hours in operation of their transportation service during an average Saturday.
    3. Enter the Grantee total actual vehicle revenue hours in operation of their transportation service during an average Sunday.
      Note: The total actual vehicle revenue hours is the hours between the first pick-up and the last drop-off. This does not include the time between garage and first pick-up nor between last drop-off and garage.
  12. Enter the Grantee’s total for the number of all passengers (friends, personal care attendants, companions) who board the vehicle during the year.
  13. Enter the Grantee’s total number of the miles passengers physically ride on the vehicle during the year.
    Example: Ms. Smith lives at 230 Main Street and travels to Stop & Shop on 173 Broad Ave and then from 173 Broad Ave back to home 230 Main Street Monday-Friday. The distance between 230 Main Street and 173 Broad Ave is 2 miles. Total number of miles for Ms. Smith during the period of Monday-Friday is 20 miles.
  14. Enter the Grantee’s number of days scheduled to operate the service.
